Privacy Policy
This Privacy Policy explains how Vivariance Inc. ("we," "us," "our") collects, uses, and shares information when you use Studio Score Keeper (the "Service").
1. Information we collect
- Account information — your email and authentication data, handled by our authentication provider, Supabase.
- Studio and event data you enter — studio names, teachers, students, entries, scores, results, and schedules. This may include information about minors (students) that you, the studio, choose to enter.
- Payment information — processed by Stripe. We receive limited billing metadata (such as whether a payment succeeded) but do not store full card numbers.
- Usage and device data — basic logs, IP address, browser type, and pages used, for security and to operate the Service. This also includes any bug reports you choose to submit (your note plus any screenshot you attach).
- AI command text — if you use the optional AI assistant, the command you type is sent for interpretation, together with that event’s roster and schedule, and we keep a record of the phrasing with dancers' names replaced by placeholders (see "AI-assisted features" below).
2. How we use information
We use information to provide, secure, and improve the Service; to process payments; to communicate with you about your account; and to comply with the law.
3. Children's data
Studios use the Service to manage events that may involve minors. You (the studio) are responsible for obtaining any consents required — for example, from parents or guardians — before entering a minor's information, and you act as the controller of that data. We process it on your behalf solely to provide the Service, and we do not knowingly use minors' information for any other purpose. The studio-owner account holder must be at least 18 years old. Where your studio uses the optional AI assistant, students' names form part of the command text sent for interpretation — see "AI-assisted features" below.
4. How we share information
We share information with service providers ("processors") who help us run the Service:
- Supabase — authentication.
- Cloudflare — hosting, storage, and content delivery.
- Stripe — payment processing.
- Anthropic — AI interpretation of typed scheduling commands.
AI-assisted features
The Service includes an AI assistant that interprets typed scheduling commands the built-in parser cannot read. It is enabled by default and can be switched off for your studio on request. It runs only when you tap the button offering it — ordinary commands are handled entirely within the Service and are never sent anywhere.
When you use it, we send the following to Anthropic, which returns a suggested action:
- the sentence you typed;
- the first and last names and internal ids of the dancers and teachers on that event’s roster;
- the event’s entries — which dancers are partnered, which dance, its style, and which heat it is currently in — with the dancers identified by internal id rather than by name;
- the schedule in running order: each heat’s number, dance and style.
We do not send contact details, ages, dates of birth, scores or results, payment information, or your saved scheduling rules.
For very large events we send only part of the roster, entries and schedule.
We also keep our own record of the command phrasing, so we can improve the built-in scheduling features and eventually stop relying on the AI. Before that record is stored, every roster name we recognise is replaced with a placeholder such as {dancer}. This reduces but does not eliminate identifying text — a misspelled or unrecognised name can remain — so we treat those records as personal data, and keep only a small, recent set.
We do not sell your personal information. We may disclose information if required by law or to protect the rights, property, or safety of our users or others.
5. Data retention
We retain event and account data while your account is active and as needed to provide the Service and meet legal obligations. You may request deletion of your account data by contacting us; some records (such as payment records) may be retained as required by law.
6. Security
We use reasonable technical measures — including encryption in transit and scoped access controls — to protect data. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
7. Your choices and rights
Depending on where you live, you may have rights to access, correct, or delete your personal information. Contact us to exercise them. You can update your account email and password at any time in the app's account settings.
8. Cookies and local storage
We use local storage and essential cookies to keep you signed in and to remember preferences such as your theme. We do not use advertising or cross-site tracking cookies.
9. Changes to this Policy
We may update this Privacy Policy from time to time. Material changes will be posted on this page with a new "last updated" date.
